Bookings

All booking requests must be made using our online booking form, which we will provide after you have made an initial enquiry. A booking will not be accepted until the booking form has been received by the Laycock Centre and all fields completed including purchase order numbers for invoicing purposes.

The Laycock Centre team can confirm availability, but do not make provisional bookings or hold rooms upon verbal requests. A booking is not confirmed until the hirer has received a unique booking reference code via a confirmation email from The Laycock Centre.

Any variation to a booking must be agreed and confirmed by both parties via email.

Upon receipt and processing of the booking form, the invoice details of the hirer will be passed on to Islington’s Finance Department who will invoice the hirer directly within 30 days of the event taking place.

If the hirer is internal, the relevant budget code and information will be passed on to the Finance Department to journal code the hire costs and any food and beverage costs associated.

Charges

The hirer will be held responsible for any damages to or loss of furniture, equipment or crockery. The hirer shall pay The Laycock Centre, via inclusion on the hire invoice the amount required to make good or remedy any such damage.

Major variations to the booking, especially at short notice may be subject to additional costs in order to accommodate the booking effectively.

The Laycock Centre reserves the right to cancel a booking if the holding of the event is prevented by circumstances beyond the control of The Laycock Centre. The Laycock Centre does not accept any liability for losses incurred due to the cancellation of an event due to circumstances beyond our control.

Cancellation charges prior to the event will be applied as follows:

  • Uo to seven days before the event – no charge
  • Between four and seven days before the event – 50 per cent of the total cost will be charged
  • Three days or less – 100 per cent of the total cost will be charged.

Notice of cancellation must be sent to laycockcentre@islington.gov.uk and will become effective on the date and time it is received by The Laycock Centre.

Food and Beverages

Food and beverages may only be provided by The Laycock Centre and its suppliers who are part of a Food and Beverage Framework agreement.

Any requests to increase or decrease food and beverage provision must be made in writing in advance.

Where reasonable, The Laycock Centre will accommodate any requests for changes, but any reduction in numbers will be managed in accordance with the cancellation policy for food and beverages.

Cancellation charges for food and beverage booked as part of your event will be applied as follows:

  • Uo to seven days before the event – no charge
  • Between four and seven days before the event – 50 per cent of the total cost will be charged
  • Three days or less – 100 per cent of the total cost will be charged.

Facilities and Service

Door keys to the rooms must remain with the room hire pack at all times. If you wish to leave the room unattended for any reason during your hire then you are advised to lock the door. Please note The Laycock Centre cannot be held responsible for the loss of any items or equipment left on the premises.

External Equipment

Entertainment equipment may be used subject to discussion and agreement from The Laycock Centre. Electrical equipment must have a valid Portable Appliance Test Certificate.

Business Meetings, Conferences or Internal Meetings

All rooms are equipped with Plasma Screen TVs as standard. If you need to connect your laptop or device to the TV and require a HDMI lead, this can be loaned out when you collect your room pack from The Laycock Centre. Each TV is able to mirror a laptop via one of these cables. Instructions are provided in the room pack and The Laycock Centre Staff are able to provide additional help if required.

Nothing is to be nailed, screwed, stapled or fixed in any way to the walls, doors or any other furniture. Use of white tac only is permitted provided all resources and white tac is fully removed at the end of the hire.

Health and Safety

In accordance with The Laycock Centre licenses, the maximum capacity of our rooms varies between two and 60 persons seated at tables and chairs.

Fire exits and extinguishers are to be kept clear and visible at all times.

In accordance with legislation, no smoking is permitted anywhere on the premises. Please find a suitable area outside and at least 50 metres away from the building if you wish to smoke while taking a break.

The hirer is responsible for all Health and Safety matters relating to an event and must be present at the event to deal with any Health and Safety matters that may occur. This responsibility may be delegated to another person who must attend the event and make themselves known to the Laycock Centre team.

The hirer is responsible for holding a list of all attendees in case of emergency evacuation.

The hirer is responsible for ensuring that people attending an event are aware of the fire evacuation procedures including the location of the fire exits.

The hirer is responsible for the conduct and behaviour of all people attending the event. The Laycock Centre reserves the right to terminate the event, without any refund of costs, if the conduct and behaviour of attendees is deemed to be unacceptable.

Parking

One on-site parking space is available at the Laycock Centre but should be requested in advance so that the appropriate allocations can be made. There are separate spaces reserved for those with disabilities.

The hirer is responsible for ensuring that vehicles using The Laycock Centre parking space is driven in a safe manner and parked in such a way so as not to obstruct access by emergency vehicles.

Security

The Laycock Centre and Islington Council accept no responsibility for the property of persons attending or organising an event at The Laycock Centre. Vehicles and their contents are parked in the car park at their owners’ risk. The Laycock Centre accepts no responsibility for any loss or damage incurred thereto. Any property brought on to the premises or left in the car park is entirely at the owner’s risk.

End of Hire

The hirer shall be responsible for leaving the premises and surrounding area in a clean and tidy condition. Any contents temporarily removed from their usual positions should be replaced.

Hirers are not to leave confidential papers in the confines of rooms for data protection reasons. Secure, confidential waste bins are available upon request.
